1. Introduction

Welcome to REKOOD ("we," "our," or "us"), provided and operated by Rusdy Ahmad. REKOOD is an intelligent AI money memory application designed to help individuals and teams scan receipts, monitor bill payment dates, track debts, and generate claim reports.

We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how we collect, use, store, share, and delete information when you use our mobile applications on the Apple App Store, Google Play Store, and our website at rekood.com.

By downloading, installing, or using REKOOD, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect only information that is strictly necessary to deliver, maintain, and enhance REKOOD's financial tracking and AI scanning services:

A. Account Information

  • Authentication Data: Your name, email address, and profile photo when registering directly or authenticating via Google Sign-In.
  • User Preferences: Display currency (e.g., MYR, SGD, IDR, THB, USD), language preference, and interface theme settings.

B. Financial & Expense Data

  • Receipt Photos & Documents: Images or digital captures of merchant receipts, tax invoices, and bills you voluntarily take or select from your photo library.
  • Structured Receipt Details: Merchant name, transaction date, line item descriptions, subtotal, tax amount (e.g., SST/VAT), payment methods, and total amounts extracted by our AI OCR pipeline.
  • Bills & Debts: Bill names, due dates, reminder intervals, borrower or lender names, and repayment progress notes entered by you.

C. Device & Diagnostic Information

  • Technical Telemetry: Device model, operating system version (iOS/Android), unique device identifiers, app version, and crash logs to resolve bugs and improve application stability.

3. Device Permissions & Biometrics

REKOOD requests minimal device permissions, only when you actively trigger features requiring them:

Camera & Photo Library (Receipt Scanning)

Used exclusively when you tap to capture a physical receipt or select a receipt invoice from your device gallery. We do NOT access your photo library or camera in the background.

Biometric Authentication (Face ID / Touch ID / Fingerprint)

REKOOD NEVER accesses, collects, transmits, or stores your biometric data. Biometric authentication is handled exclusively on-device by iOS (LocalAuthentication) or Android (BiometricPrompt). The operating system only returns an encrypted confirmation signal indicating successful verification.

Notifications

Used to deliver reminders for upcoming bills, overdue debt tracking alerts, and claim generation updates. You can enable or disable push notifications at any time in system settings.

4. How We Use Your Information

We process your data strictly for legitimate operational purposes:

  • AI Parsing & OCR: Analyzing receipt images using neural vision models to accurately extract financial metadata and categorize spending.
  • Sync & Backup: Securely synchronizing your expenses, bills, and debt records across your devices so your financial memory is never lost.
  • Report Generation: Generating official expense claim reports in PDF format for tax, business reimbursement, or personal records.
  • Security & Fraud Prevention: Protecting user accounts against unauthorized access, credential stuffing, and abuse.

We do NOT sell, rent, or trade your personal data or receipt records to advertisers, brokers, or any third parties.

5. Third-Party Service Providers

To provide high-speed AI processing and reliable cloud infrastructure, we partner with industry-standard third-party sub-processors:

6. Data Storage & Security

We implement robust enterprise-grade safeguards to protect your personal information:

  • Encryption in Transit: All communications between the REKOOD mobile app, web platform, and API servers are strictly transmitted over Transport Layer Security (TLS 1.3 / HTTPS).
  • Encryption at Rest: Database records and S3-compatible receipt attachments are stored with modern cryptographic encryption at rest.
  • Access Controls: Multi-tenant isolation ensures each user's financial records are strictly segregated and protected behind authentication tokens.

7. Data Retention & Your Deletion Rights

We retain your information only as long as your account remains active or as needed to provide you with the REKOOD service.

You have the full right to delete your account and all associated data at any time:

  • In-App Deletion: You can permanently delete your account directly inside the app by navigating to Settings → Account → Delete Account.
  • Email Request: You can email us at support@rekood.com with the subject "Account Deletion Request".

Upon account deletion, all personal data, uploaded receipt photos, scanned expense items, bill records, and debt history will be permanently purged from our production databases within 30 days, without retention on active systems.

8. Children's Privacy

REKOOD is not directed to children under the age of 13 (or under 16 in the European Economic Area). We do not knowingly collect or solicit personal information from children. If we discover that a child has provided us with personal data, we will immediately delete that information from our servers.

9. Changes to This Privacy Policy

We may periodically update this Privacy Policy to reflect changes in our app features, legal obligations, or operational practices. We will notify you of any material modifications by posting the updated Privacy Policy on this page and updating the "Last Updated" date above.
