Your Financial Privacy Matters: REKOOD never sells your personal data or receipt records to third-party advertisers. Financial receipts, bills, and debt records are processed using private, encrypted models and belong exclusively to you and your authorized workspace members.

1. Introduction

Welcome to REKOOD (“we,” “our,” or “us”), provided and operated by Rusdy Ahmad / Bina Aset Digital. REKOOD is an intelligent financial tracking and money memory application designed to help individuals and teams scan receipts, monitor bill payment dates, manage shared workspace expenses, track debts, and generate expense claim reports.

We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how we collect, use, store, share, and delete information when you use our mobile applications on the Apple App Store, Google Play Store, and our web portal at rekood.com.

By creating an account, downloading, or using REKOOD, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect only information strictly necessary to deliver, maintain, and enhance REKOOD's financial tracking and AI scanning services:

A. Account Information

  • Authentication Data: Your name, email address, password hash, and profile picture when registering directly or authenticating via Google Sign-In or Apple ID.
  • User Preferences: Display currency (e.g., MYR, SGD, IDR, THB, USD), language preference, and theme mode (light or dark).

B. Financial & Expense Data

  • Receipt Photos & Document Slips: Images or digital captures of merchant receipts, tax invoices, and payment slips you voluntarily photograph or upload.
  • Extracted Transaction Data: Merchant name, transaction date, line item descriptions, subtotal, tax amount (e.g. SST / VAT), payment method, and total amounts extracted by our AI vision pipeline.
  • Bills & Debts: Biller name, due dates, recurring intervals, account numbers, contact details, borrower/lender names, and repayment status entered by you.

C. Workspace & Collaboration Data

  • Workspaces: Workspace names, currencies, invite codes, role assignments (Owner, Admin, Member, Viewer), and member email invitations.

D. Device & Diagnostic Information

  • Technical Telemetry: Device model, operating system version (iOS/Android/Web browser), application version, and anonymized error logs to resolve bugs and improve application reliability.

3. Device Permissions & Biometrics

REKOOD requests minimal permissions only when you actively trigger features requiring them:

  • Camera & Photo Library: Used strictly when you capture a receipt or select a receipt invoice from your gallery. We do not access your gallery in the background.
  • Biometric Authentication (Face ID / Touch ID / Fingerprint): REKOOD never accesses, collects, or stores your biometric data. Biometrics are processed on-device by iOS or Android operating systems; REKOOD only receives a cryptographic verification signal.
  • Push Notifications: Used solely to alert you of upcoming bill due dates, debt reminders, or team workspace invitations.

4. How We Use Your Information

We process your data for the following essential purposes:

  • Providing instant AI-powered receipt scanning and expense categorization.
  • Syncing transactions across your devices and team workspaces.
  • Calculating spending analytics, monthly category breakdowns, and exportable reports.
  • Sending scheduled notifications for bill payment deadlines and debt settlements.
  • Securing user accounts and preventing fraudulent or unauthorized access.

5. Data Sharing & Third Parties

We do not sell, rent, or trade your personal data. We share data only with trusted service providers essential for operating REKOOD:

  • Cloud Infrastructure: Hosted on secured, encrypted cloud servers with access-controlled databases.
  • AI Vision Processing: Receipt images are securely transferred via TLS encryption to state-of-the-art vision models solely for OCR text extraction and are not retained by third parties for independent marketing.
  • Workspace Members: When you share a workspace with colleagues or family, transaction records created within that workspace are visible to authorized workspace members according to their assigned permissions.

6. Security & Data Protection

We implement industry-standard security safeguards, including end-to-end TLS encryption during transmission and AES encryption at rest. All API endpoints require authenticated JWT tokens or session cookies.

7. Your Rights & Account Deletion

You have full ownership of your data and can exercise your privacy rights at any time:

  • Instant In-App Deletion: You can permanently delete your account and all associated transactions, receipts, and workspaces directly inside the app under Settings → Delete Account.
  • Data Export: You can export your transaction records anytime via CSV format.
  • Support Request: You can email us at support@rekood.com for complete data purge requests.

Upon account deletion, all personal data, uploaded receipts, and records will be permanently purged from active production databases within 30 days.
